Main duties and Responsibilities
The Program Coordinator for HCGT shall function as a coordinator for CarePoint CP relationships within Guatemala. Each Program Coordinator shall be assigned specific CPs by the Guatemala Program Manager. The Program Coordinators role will be to work with their assigned HopeChest CarePoints CPs to help the CP create, develop and maintain an uptodate Development Plan DP that describes the desired future of their respective CP and help that CP implement the goals of the DP and empower CPs to move toward increased selfsustainability.
CarePoints Visits and Partnerships
Each month, visit each of their CPs and meet with CP leadership and personnel to facilitate program activities
Monitor and enhance the wellbeing of CPassociated vulnerable children, by facilitating programs according to the organization strategy of Survive, Thrive, Succeed
Develop and maintain a good working relationship with CP leaders, personnel, parents and community
Check the performance of the CarePoint Facilitator CPF, who will report directly to the Program Coordinator
The Program Coordinator will be responsible to form a Leadership Team at each Pueblo Modelo. This will be a team formed by community members that will work together with HCGT in the transformation for their own communities. The Program Coordinator will also interact and host meetings with the Leadership Team to reviewrevise the plans for the community.
Vision and DPs or PDAIs
Engage the CP leaders to enhance their Vision and sense of ownership and participation in the transformational process of their communities
Work with the CP, as well as, the HCGT team, the International Program Director IPD and the Community Partnership Manager CPM to facilitate the creation and implementation of Development Plans DPs or PDAIs for every CP
Training and Program oversight
Conduct times of training with the CP personnel, parents or members of the community on topics that are relevant to the transformation process
Assist the associated CP staff to implement CHCs approach Survive, Thrive, Succeed programming at all HCGT CPs, including the development of the childrens educational and vocational interests
Provide guidance to CP leadership to disciple, train and empower children to become productive, contributing members of society
Train children and CP leaders to write good quality letters and child messages to their HopeChest Friends and share them with CHC International Office
Follow the established Monitoring, Evaluation and Reporting MER system at each CarePoint
Together with CarePoint Facilitator, work on the annual budget and Annual Plan.
Reporting
On the ForGood app, review the content of the Monthly Reports that have been submitted by the CP
Translate monthly reports to English in a timely, professional manner
Review the financial reports submitted by the CP to assure that funds have been used in accordance with the budget
Establish and maintain efficient, effective and relevant records at the CPs
If working with Pueblo Modelos, the Program Coordinator will be responsible of the financial management of the CarePoints
Release new surveys via ForGood for MER purposes to be tracked in the ForGood App for programrelated activities.
Partner Visits
Guide and strengthen the communitytocommunity relationship between partners donor communities and HCGT CPs
Confirm partner trip dates with the CarePoints and Travel Manager US office
Add confirmed trips to the trip calendar
Together with the HGGT team and CarePoint Facilitator, mobilize and prepare CP communities for visits from the sponsors
Coordinate trip activities, projects to be undertaken while trip team is incountry, and other ideas with the CarePoint leaders
Finalize, together with the Travel Manager, the trip itinerary at least eight weeks before the team travels
Support the Operations Manager in the creation of trip budgets
Coordinate pretrip Skype calls with the CPM and Travel Manager
Upon previous consultation with Program Manager, authorize any major changes in the itinerary
Conduct orientation time with each team
Guide the leadership meeting with each team and the partner they are visiting
Spend the first day of the trip with the partner visiting the CarePoint
Provide feedback to Operations Manager on contracted services for trip logistics in order to improve the trip experience
Sponsorship
Request and review attendance lists from the CarePoint Facilitator
Share the completed monthly attendance lists with the Colorado Office
With the support of the CarePoint Facilitator, oversee the letter writing process for each of the CPs
Process letters received from HopeChest Friends snail mail and distribute them to the children in a timely way
Monitor the mail sent and received, together with the support
